Description
The Manager of Operations is responsible for overseeing the daily functions of the Alliston Food Bank (AFB). This leadership role includes supervising staff, supporting and engaging volunteers, managing food bank programs and inventory, maintaining community partnerships, and ensuring compliance with all relevant standards and policies. The Manager works closely with the Board of Directors and plays a key role in ensuring the food bank is safe, client-focused, and aligned with its mission and goals.
Key Responsibilities:
Operations Management
- Oversee all day-to-day operations, including food acquisition, donation sorting, warehousing, display, and client distribution.
- Ensure all activities comply with appropriate standards, regulations, and operational requirements.
- Maintain systems and protocols for food safety, storage, and rotation, in accordance with public health regulations.
- Manage physical infrastructure of the food bank, coordinating repairs, cleaning, and responding to maintenance or safety issues.
- Monitor the condition and organization of food storage areas, ensuring cleanliness and adherence to safe food handling practices.
- Oversee and maintain accurate inventory records of all incoming and outgoing food, tracked by type, source, and weight.
- Oversee the use and accuracy of Link2Feed data systems and Food Banks Canada platforms.
- Purchase food and operational supplies as needed, tracking expenses and receipts in line with financial guidelines.
- Prepare the food bank facility to be client-ready ahead of all shopping days, ensuring an organized, respectful, and welcoming environment.
- Other duties as assigned.
Staff and Volunteer Supervision and Support:
- Supervise and provide direction to staff, including performance management, work planning, and task delegation.
- Provide guidance and mentorship to staff to support professional development and align activities with AFB’s strategic plan.
- Work in collaboration with the volunteer managers and team leads to support approximately 80 volunteers, oversee client registration, as well as the reception, sorting, warehousing, display and dispensing of food to clients.
- Manage staff to create and amend volunteer schedules and maintenance of the current volunteer lists and files, using approved software and communication methods.
- Support recruitment, orientation, training, and ongoing development of volunteers.
- Foster a collaborative and inclusive environment that values the contributions of all staff and volunteers.
- Ensure policies related to health, safety, and volunteer conduct are understood and followed.
- Monitor volunteer and staff wellness, intervening or escalating concerns to the Board as needed.
Communications and Community Engagement
- Serve as the primary public representative of AFB, communicating clearly and compassionately with clients, partners, and the broader community.
- Build and maintain strong working relationships with donors, grocery stores, funders, and other local food banks and agencies such as Feed Ontario and Food Banks Canada.
- Coordinate and manage AFB’s external communications, including social media and website updates.
- Ensure regular internal communication with volunteers and staff regarding policy updates, operational changes, and upcoming events.
- Respond to email and phone inquiries in a timely and professional manner, forwarding communication to the appropriate contact when necessary.
- Represent AFB at meetings, public events, or advocacy opportunities when appropriate or directed by the Board.
Board Support
- Support the Board of Directors by providing accurate and timely reports on operations, inventory, volunteer activity, and client services.
- Attend Board and committee meetings, contributing updates, data, and recommendations.
- Assist with development and refinement of policies and procedures related to food distribution, client services, HR, and health and safety.
- Implement and monitor compliance with organizational policies, escalating breaches of policy or legislation to the Board.
- Support the integration of the Board’s strategic priorities into daily operations and ensure alignment with AFB’s mission and values.
- Contribute to long-term planning by providing operational insights and data to inform Board decisions.
Program Development and Fundraising
- Coordinate and support the planning and delivery of food bank programs and events, in partnership with staff, volunteers, and committees.
- Research, draft, and submit grant applications and required reports to funders and partners, ensuring accuracy, alignment with organizational priorities, and compliance with funder guidelines.
- Oversee the planning and execution of food drives, fundraising initiatives, and seasonal campaigns.
- Collaborate with the Board and volunteers to evaluate program effectiveness and identify opportunities for new initiatives or improved service delivery.
- Maintain a strong connection to community needs and trends to guide program development and ensure relevance and accessibility
Other Requirements:
- Valid Class G driver's license and access to a reliable vehicle.
- Successful completion of a Vulnerable Sector Check.
Job Type: Full-time
Pay: $60,000.00-$70,000.00 per year

Skills Required
Qualifications and Skills:
Post-secondary diploma or degree in a related field such as non-profit management, business administration, social work, or community development.
Leadership experience in a non-profit, social services, or volunteer-driven environment.
Demonstrated experience working with and supporting vulnerable populations and people experiencing poverty.
Demonstrated commitment to professionalism and fostering relationships, with tangible results
Experience with grant writing, fundraising, and program planning.
Proven ability to work collaboratively and as a team member
Strong leadership, conflict management, and team-building skills with the ability to motivate and support diverse groups of people.
Excellent interpersonal, verbal and written communication skills with ability to deal with confidential information
Strong organizational skills with attention to detail and an ability to manage multiple priorities in a fast-paced environment, self-directed.
Solid understanding and promotions of anti-oppressive practices.
High proficiency with Microsoft 365 (Outlook, Word, Excel, Teams); experience with Link2Feed and Better Impact is preferred.
Experience managing social media pages and website updates
Ability to exercise sound judgment and discretion when handling sensitive information or situations.
Willingness to be hands-on when needed and flexible in adapting to emerging needs.
Ability to represent AFB in a professional and compassionate manner at all times
